Every staffing agency knows this moment. A client calls and asks what was agreed in the last conversation. The answer is known to the colleague who is on vacation today. Or it sits in an email, in an Excel list and in a PDF, each with a different status.

In our industry, a surprising amount depends on what people keep in their heads: which client prefers to be called in the morning, who does not want to be on a ward with whom, why the rate is worded that way in the contract. As long as everyone is there, it works. When the scheduler quits, her successor starts from zero, and your client notices on the first call.

What a second brain is

The idea comes from knowledge work: you file what you experience and read, link it, and find it again when you need it. Many people build such a system in note apps like Obsidian or Notion, and you may know the pictures: thousands of dots, connected into a network.

The catch is upkeep. A second brain only works if someone records, sorts and tidies. Until now that was manual work, which is why most archives are abandoned after a few weeks. In a business with scheduling, sales and payroll, nobody has time for that.

With AI, that changes. Sorting and summarizing is taken over by an agent, and you can ask the system in whole sentences.

Why a note app is not enough for us

The knowledge of a staffing agency does not arise while taking notes. It arises at work: in the call with the hospital, in the sick note at six in the morning, in the timesheet, in the framework contract. A separate knowledge app would have to retype all of that, and that is exactly what does not happen in daily work.

In temporary staffing everything revolves around the person you place. That is why in our network the employee is in the center, not the invoice or the client.

The assignment in turn carries contract, shift plan, hours and invoice. The hospital is client, prospect, invoice recipient and place of work at the same time, and in alluvo it is one record with its wards below it.

Six stages that alluvo takes over

A second brain has six tasks. This is how they are distributed in alluvo:

  1. Capture. Email, chat, WhatsApp and phone land as tickets in the shared inbox. Your employees report sick, record hours and ask questions in the employee app.
  2. Condense. Once a call, a note or an appointment is logged, the AI follow-up summarizes and derives what follows: a task, an email draft or a staffing demand.
  3. Connect. Every company exists once in client management, every assignment too, and everything hangs together.
  4. Maintain. The data quality app detects duplicates, inconsistent formatting and missing details, also right after an import. The field history records who changed what and when.
  5. Answer. With the alluvo operator you ask your business from within Claude or ChatGPT: who is on the bench right now, what has been agreed with the hospital. Your employees ask the knowledge base in the app, and an assistant answers from your articles.
  6. Act. AI assistants work in the inbox, on a schedule or as a step in a workflow. What always runs the same way, workflows do without AI.

A memory you can trust

A second brain is only worth as much as what you can verify. That is why in alluvo every step of the AI leaves a trace.

Every AI action is set to Off, Suggest or Execute. With Suggest, the run waits for a human, and the AI never sends contracts. What an agent did and what it relied on is in the log, and every record it touches carries a note that it was an agent. The operator works with the permissions of the person who asks it.

What it changes in daily work

The scheduler who leaves no longer takes her knowledge with her. Calls, notes and emails hang on client, employee and assignment, summarized by the AI. Whoever takes over reads the history.

The question about the rate in the framework contract you answer in one sentence instead of twenty minutes of searching. And the client list in which Example Client Ltd. appears three times tidies itself continuously.
