Staffing software

Staffing software in which every assignment exists once.

Staffing software has to do more than manage master data. It has to know how long an employee may stay with a client, when equal pay applies and which collective agreement counts. In alluvo, sales, scheduling, contracts, hours, invoice and payroll data hang on the same assignment, and AI assistants do the office work in between. The rule modules (maximum assignment duration, equal pay, agreements) cover German law today, for agencies operating under German law; other countries are planned.

What matters in staffing software.

Seven questions to ask every vendor, us included. Under each one you can read how alluvo answers it.

  1. Does the software know the temporary staffing rules?

Maximum assignment duration and equal pay run per employee and client. Staffing software should count both from the assignments themselves and warn you before a deadline passes. For agencies operating under German law (AÜG), alluvo will neither plan an assignment beyond the maximum duration nor conclude a contract for it. Rules for other countries are planned.

  2. Does the contract come out of the assignment?

Anyone writing contracts in Word retypes data that is already in the system. In alluvo, the framework contract, the temporary staffing contract and the assignment contract are created from the assignment record. Under German law, the assignment notice required by section 11 AÜG goes to the employee along with it.

  3. Do your clients book themselves?

Free hours are hard to sell over the phone. In the client portal your client sees who is free, with qualification and the rate from your framework contract, books on their own and later approves the hours in the same place.

  4. Do the hours come from an app?

Paper timesheets delay every invoice. In alluvo your employees record their time in the employee app or upload the signed timesheet as a photo, and the client approval has deadlines and reminders.

  5. Does the hour become an invoice?

Approved hours and the rate from the framework contract flow into the billing run in alluvo. For agencies in Germany, your accountant receives the posting batch in DATEV format and the approved payroll components go out as a DATEV payroll import file. Exports for other countries are planned.

  6. Does the software find new clients?

The CRM sits in the same system as your assignments. The lead radar shows employers with open vacancies by occupation and radius, today from the job search of the German Federal Employment Agency (Germany; other countries are planned), and a sequence sends the follow-up emails.

  7. What does it cost to get started?

In alluvo you pay one price per employee on assignment and month, with all modules. Employees on the bench, candidates and users cost nothing, and there is no minimum commitment. Onboarding with setup, import of your existing data and training is free with annual payment.

From everyday work

Three reasons why staffing agencies switch their software.

  1. Mit alluvo 01

    The assignment is one record.

In alluvo, client, framework contract, shift plan, hours and invoice hang on the same assignment. Invoicing calculates with the rate from the framework contract and the hours your client has approved.

    A thing of the past

The assignment lives in five programs. Each with a different status.

The client is in the CRM, the contract in Word, the shift plan in Excel, the hours on paper and the payroll with the tax advisor. Every change to the assignment is retyped four times by someone.

The consequenceThe rate is adjusted in the contract but not in the invoice. Your client notices first, and then you write a credit note.

  2. Mit alluvo 02

    alluvo does the office work.

Contracts are created from the assignment, hours come from the app, and the questions from your people on assignment go through the employee app instead of the office phone. Your team takes care of clients and employees.

    A thing of the past

The office grows with every client. The margin does not.

More assignments mean more contracts, more timesheets and more questions. So you hire for the back office, and until the new person is up to speed, everyone else works overtime.

The consequenceThe back office grows faster than revenue. What the additional client brings in is eaten by the additional salary.

  3. Mit alluvo 03

The invoice follows the approved hour.

Your employees record time in the app, your client approves it in the client portal, and invoicing calculates with exactly those hours. That way you bill closely and can avoid or reduce factoring.

    A thing of the past

The invoice waits for the timesheets. The money waits for the invoice.

At month end, timesheets are missing, and without hours no invoice goes out. The wages were paid long ago.

The consequenceYou pre-finance wages for weeks. When cash gets tight, factoring steps in and takes its fee.

From daily operations

„The moment it was clear that working without alluvo no longer made sense: when I got hours of work done from the car with a single voice message.“

Questions

Questions about staffing software.

What is staffing software?

Software that maps the processes of a staffing agency: clients and orders, employees and candidates, assignments and contracts, time, invoices and payroll data. What sets it apart from general HR or CRM software is the temporary assignment: maximum duration, equal pay and collective agreements are calculated on the assignment. alluvo implements those rules for German law today (AÜG); other countries are planned.

What does alluvo cost?

One price per employee on assignment and month, with all modules, lower with annual payment. Employees on the bench, candidates and users cost nothing. Onboarding is free with annual payment and a one-off fee with monthly payment. You find all figures and a calculator on the pricing page.

Can we take over our data from the old system?

Yes. Taking over your existing data from the old system is part of onboarding. After the import, alluvo checks the data for duplicates, inconsistent formatting and missing details and shows you what it cannot fix automatically.

Does alluvo work with DATEV?

For agencies in Germany, yes. Invoices go to your accountant as a posting batch in DATEV format, approved payroll components as a DATEV payroll import file. The payroll calculation itself continues to run in your payroll program. Exports for other countries are planned.

Where is my data stored?

alluvo runs on Amazon Web Services in Frankfurt am Main, with servers and storage in Germany. For AI tasks, the content needed for them goes to Anthropic and OpenAI under standard contractual clauses. The data processing agreement is what governs this with binding effect.

Do I have to book modules separately?

No. All modules are included in the price per employee on assignment. What they cover is on the pricing page.
