Digital timesheets, approved on time.

At month end the same timesheets are always missing. With the digital timesheet in alluvo, your employees record their times in the app or upload the signed sheet as a photo. The client approves, with a deadline and reminder, and the hours flow into the working time account.

At a glance

Hours that are already checked when you need them.

  1. Recorded times flow into the working time account, not into a second spreadsheet.
  2. Client approval has deadlines, reminders and an escalation level.
  3. Your rules are set once, and then apply to every assignment.

From everyday work

Three scenes from month end. As punctual as every month.

  1. Mit alluvo 01

The times come from the app.

Your employees record their times in the employee app or upload the signed timesheet as a photo or PDF. At month end, what used to arrive by post is already in the system.

    A thing of the past

The timesheets arrive at month end. Most of them, anyway.

On the first, twelve sheets are still missing. Scheduling phones around, some arrive by post, one as a photo taken on a dashboard.

The consequenceAs long as the hours are missing, no invoice goes out. Every week of delay pushes your incoming payment back by a week.

  2. Mit alluvo 02

    Approval has a deadline.

You set deadlines for client approval. alluvo sends reminders, and if nobody reacts, the escalation level you configured kicks in.

    A thing of the past

The client approves the hours. As soon as they get round to it.

The hours have been with the client for approval for ten days. The ward manager is on holiday, and the deputy knows nothing about it.

The consequenceThe invoice waits, or it goes out without approval and comes back with objections. Then you correct afterwards and issue a credit note.

  3. Mit alluvo 03

The working time account calculates along.

Recorded times flow straight into the working time account in alluvo, by the rules you set once. Your employee sees their balance in the app, and the office sees the same one.

    A thing of the past

The working time account is an Excel sheet. Kept by one person.

Plus hours, minus hours, carry-over from the previous month: it is all in a spreadsheet one colleague keeps. She is on holiday for three weeks.

The consequenceAn employee quits, and nobody knows how many plus hours are to be paid out. In the end you pay what he says, or you settle it in court.

Questions

Questions about the digital timesheet.

How do my employees record their times?

In the employee app. Whoever has the client sign on paper uploads the timesheet as a photo or PDF.

Does alluvo read handwritten timesheets?

Yes. alluvo reads scanned timesheets, calculates the surcharges according to the collective agreement (for agencies operating under German law today: the GVP agreement; other countries are planned) and presents the times to the employee in the app for confirmation.

How does the client approve the hours?

In the client portal, once you enable hours approval for them. You set deadlines, reminders and escalation for this approval in time tracking.

What happens to approved hours?

They flow into the working time account and, with the hourly rate from the framework contract, into the billing run in invoicing.
